Acuren is currently recruiting a Logistics Coordinator/Receptionist to be part of the Richmond Administration team. Located in the Regional Head Office, this cross-functional group supports the region’s needs for various logistics tasks supporting the operations by coordinating travel arrangements, being the first person of contact for guests and directing phone calls to the correct person. You will collaborate with other departments to ensure smooth logistical operations and efficient communication.
Responsibilities
As a member of this team, Logistics Coordinator/Receptionist you are responsible for the following:
Logistics Coordinator
Supports operations by:
  • Coordinate and book all travel arrangements for employees, including flights, hotels, camps, and car rentals, ensuring compliance with company travel policy guidelines and budget;
  • Maintain accurate records of travel details, including itineraries, hotel reservations, taxies, and car rental confirmations;
  • Collaborate with other departments to ensure smooth logistical operations and efficient communication ;
  • May schedule and coordinate site orientations for new employees, ensuring awareness of site-specific safety protocols and procedures;
  • Set up direct billing accounts with hotels ;
  • Be available to make and modify bookings outside of regular business hours and,
  • Other work-related duties as assigned.
Reception
Supports the office by:
  • Greeting, receiving, directing all phone calls and office visitors by forwarding or paging to the correct person;
  • Receiving and preparing courier packages, processing mail and dealing with general office requirements;
  • Maintaining telephone lists and directories ;
  • Opening and closing reception duties;
  • Processing and delivery of lab reports to clients;
  • Assist with general adminstrative tasks, such as filing documents, answering phones, and responding to emails;
Requirements
  • Highschool Diploma or equivalent; a minimum of 2 years of relevant experience in travel, logistics or administrative experience;
  • Proficiency in Microsoft Office 365 and internet applications is a must;
  • Excellent written and verbal communication skills ;
  • Strong interpersonal skills with the ability to develop and maintain positive working relationships with co-workers;
  • Ability to prioritize tasks, identify problems and provide potential solutions effectively;
  • Self-motivated and capable of working in a fast-paced environment ;
  • Strong work ethics ;
  • Exceptional organizational skills with the ability to work efficiently and maintain a high degree of accuracy;
  • Experience with scheduling software would be considered an asset and,
  • Ability to work outside of regular business hours .
Working Conditions
  • Reports to: Controller
  • Work location: Richmond Head Office
  • Work hours: Mon-Fri fro m 8:00 to 17:00; however occasional overtime may be required.
  • Salary Range: $19.00 to $24.00/hr.
